When an action is to be applied to several objects in parallel, you have to first select the objects. You can do this by:
• activating the respective check boxes on the left hand side of the object entries;
• selecting all entries in the folder page by clicking in the selection menu bar. The latter may also be done by selecting Edit Select all in the top menu bar.
When selecting objects for a simultaneous action, you may also de-select all objects so far selected by
• clicking in the selection menu bar. This may also be done by selecting Edit Unselect all in the top menu bar.
After having selected the objects that the action is to be applied to, you have to select the appropriate menu entry in the selection menu bar to trigger the action. You find these actions also as options in the top menu bar: thus you may select, e.g., | catch up | or Edit Catch up .
If you have selected objects for an action that cannot be performed on all of these objects, BSCW will perform the action only on those objects selected where the action is ‘legitimate’.
If there is no object in the folder for which an action would be legitimate, the corresponding action entry will not be shown in the selection menu bar.
In the following, we describe what the actions of the selection menu will do.
| catch up | indicates to BSCW that you have taken note of the current events (i.e. previous actions on the objects selected) and that you do not want to be reminded of them any longer. The event icons in the entries selected are removed.
Note: | catch up | is applied recursively to the complete contents of a folder and its subfolders. As a shortcut, | catch up | affects all objects in a folder when no objects are selected. Thus, the effect is identical to selecting File Catch up in the top menu.
| send | lets you send the objects selected and their complete contents by email (as attachments) or by fax. You may also send links to the objects via email. Selection of the send action brings up a form for distribution via email, where you as well may select fax distribution. For email distribution, the recipients may be selected from your address book; their email addresses or fax numbers may also be entered directly into the form.
| copy | puts copies of the objects selected into your clipboard.
| link | puts links to the objects selected into your clipboard. By default, you may only create links of objects where you are manager. A link is an extra entry referring to an object, that may be placed somewhere into your folder hierarchy.
| cut | transfers the objects selected to your clipboard.
| delete | transfers the objects selected to your trash.
| freeze | freezes the contents of the documents selected. Modification is no longer possible unless the documents are unfrozen. Freezing and unfreezing is only possible for owners.
| archive | generates a Zip/Winzip or Tar archive of the objects selected. Archiving is particularly useful if you want to download a large number of documents.
| rate | lets you rate the quality of the documents selected or of the objects referred to by the URLs selected.
| fetch | stores the (HTML) contents of the objects which are referred to by the URLs selected in the current workspace.
| verify | checks the availability of the URLs selected.
| to case | puts the documents selected into your briefcase for synchronization with your local computer.
| evaluate | generates or updates the document sets selected.
