You can recognize documents for which a release process is defined by the fact that the entry appears in the context menu. On the info page of the document or its parent folder you can see the steps of the release process and the responsible reviewers. If you have activated the columns 'Status' or 'Progress' in the detailed view of the folder, 'In process' appears in these columns and for documents for which a release process is defined.
Any member of the folder containing such a document can start the approval process. As a rule, this will happen when the editing of the document is finished.
• Select in the context menu of the document.
• You can add a note to this action, which will be attached to the document and visible to reviewers in the approval process.
• Click [OK] to start the share.
Now the document is placed under version control, if this has not already been done, and locked for further editing. The document appears in the task lists of the reviewers responsible for the first release step. These reviewers are also notified by email that a review of the document in question is pending.
In the folder view, the start of the approval process for the document is visible by the indication 'under review' in the 'Status' column and the icon in the 'Progress' column. Do not forget to turn on the 'Status' or 'Progress' columns in the folder view.
After starting the approval process, you wait to see how the review turns out. The info page of the document shows the current status and which review step is being performed. You will be notified by email about the outcome of the review. The status and progress column of the document in the folder overview shows either 'released' and or 'rejected' and . When the document is released or rejected, the version status is also set to 'released' or 'rejected'.
During the review, the document is locked for editing. However, as the initiator of the release process or manager of the folder, you can cancel the release at any time by
• You can select in the context menu of the document. You can also add a note to this action for the other collaborators. In the status and progress column of the document in the folder overview, 'canceled' appears and .
After aborting or finishing the approval process, the document can be edited again. Afterwards, the approval process can be started again,
• by selecting the context menu of the document.
A new document release is also possible for released documents if, for example, the quality requirements for the document release have changed.
If you participate in the approval process as a reviewer, you will receive corresponding notifications by e-mail. The documents to be reviewed appear in your navigation tree in the document inbox.
• Select from the document's context menu when you are satisfied with the document. Alternatively, you can click the iconin the document's progress column as a shortcut. Add an optional note to your action. Depending on how the approval process is defined, other reviewers may still need to accept before the document can proceed to the next approval step. After successfully passing the last approval step, the document is considered approved.
• Select in the context menu of the document if you have any objections, which you should also express in a note for the editors. The document now has the status 'rejected' and can be edited and subjected to the approval process again.
• Select in the context menu of the document if you do not want to perform the review for this document yourself, and select one or more representatives in the action form. Again, you can add a comment to your action, which will be sent to the representatives with the email notification. The delegation remains in effect for the review of this document, even if the approval process is cancelled and restarted.
After you, as the reviewer, accept or reject the document or delegate the review, the document disappears from your task list.
