Time-limited access to documents

You may send BSCW objects and, if necessary, their entire contents to members of a workspace and external others.

you can give time-limited access to documents and send the access link by e-mail. Alternatively, documents can also be attached directly to e-mails. However, in this case you should keep an eye on the size of the documents.

The BSCW objects are sent as attachments to an email message. When sending an email message you may also send links to the objects instead of sending them as an attachment, which may be advantageous especially for large documents.

      Select the objects you want to send and on a selected object open  Send to e-mail recipient.

      In the 'Send email' form, enter the email addresses of the addressees, the subject and the text of the message; the objects that will be sent as attachments are listed at the bottom of the form.

      With [Add members] you may add all members of the workspace you are currently in to the addressee group, with [Remove members] you may remove them again. You may use contacts with email addresses from your BSCW address book by using the [To:], [Cc:] and [Bcc:] buttons.

      Under 'Send as reference or as attachment' you can choose how you want to send the selected objects.

Select the 'Send as attachment to all recipients' option if you want to send the objects as an attachment to the email message. This option is not recommended if the documents are large or if you want to stay informed about who reads the documents.

Choose one of the two options 'Send as reference ... Send as reference' if you want to avoid e-mail messages with attachments.     
If you also send references to documents to non-members of the workspace, these non-members can also have read access to the objects via reference. Read access is done via a token and is limited to the specified time period. You can also block access to a sent object before the specified time period has expired by deleting the token: Open the info page of the object; under 'Access rights' the access with token is listed there; with the action [Delete token] in the right column of the access rights table you block access via token for non-members.     
The option 'Send as reference to members only' ensures that no one except members with read permission can access the objects: non-authorized recipients will be removed from the recipient lists and will not receive an email message (in this case a warning to this effect will appear before sending).

Note: The action Send email is only available if your BSCW server has been configured by the administrator to send emails.
