In order to create a new flow folder, you proceed as follows:
• Select File New Flow Folder from the top menu.
• Enter the name of the new flow folder and hit [OK] to create a new flow folder.
• Next, you are presented with the ‘Add Task - Edit Flow Folder’ form to specify the first task of the new flow folder.
• Enter a name for the first task and an optional description and specify one (or more) users who shall be responsible for the task. Finally create the first task by clicking [OK]. The users responsible for tasks may also be selected from your address book or determined by performing a search for users.
• The ‘Edit Flow Folder’ form that is presented next shows the current list of tasks, which in this case only consists of the first task just defined. Continue to define new tasks using [Add new task] until your list of tasks is complete. New tasks are appended at the end of the list of existing tasks.
• When defining additional tasks, use the form section ‘Forward to:’ to determine the next station in the flow of tasks. After completion of a task, by default, the flow folder is forwarded to the next task in the list. Alternatively, you may enable forwarding the flow folder to another task or one of several other tasks.
• Choose [Go back] when you are done with the list of tasks.
You may change the list of tasks of a flow folder any time (see 8.2.3 Editing flow folders).
Now add any documents or other objects to the flow folder that are important for the tasks on the list and initiate the flow of tasks as follows:
• Select Forward in the action menu of the flow folder. In the ‘Forward Flow Folder’ form you may provide an additional comment. You may have sent an email notification to the flow folder manager (probably yourself) and other users responsible for initiating the flow of tasks (i.e. other members of the flow folder), which does not make much sense in this special case. But you may choose whether to send an email notification to the user(s) responsible for the first task. Confirm by hitting [OK].
This action puts the flow folder into the personal task list of the user(s) responsible for the first task, and the flow of tasks may start.
You can also copy flow folders including their list of tasks. The state of task execution is not copied: the status of a copied flow folder is that of a newly defined flow folder before the first task has been started. The contents of the flow folder, however, are copied in their current state!
