By forwarding a flow folder, the current task is declared as completed. The flow folder is removed from the personal task list of the user(s) responsible for this task and appears in the personal task list of the user(s) responsible for the next task. When all tasks have been completed, i.e. when there is no next task, the flow of the flow folder is finished. By forwarding a finished flow folder, a member of the flow folder may start the flow again with the first task.
Before forwarding a flow folder, you as the responsible for the current task should make sure that this task is indeed completed, that, e.g., a document requested has been uploaded to the flow folder or that a document in the flow folder has been edited according to the task description.
As a member of the flow folder you also may forward the flow folder at any stage. By doing this, you take the current task away from the user(s) responsible for this task and forward the flow folder in its present state to the user(s) responsible for the next task.
You forward a flow folder as follows:
• Select Forward in the action menu of the flow folder.
• In the ‘Forward Flow Folder’ form you may provide an additional comment describing the result of your activity. Choose whether the manager of the flow folder and other persons responsible for the current task shall be notified by email.
• If only one subsequent task is foreseen, the user(s) responsible for this task are automatically selected. If there is more than one task foreseen as next station in the flow, you may choose to which task the flow folder is to be forwarded next. You may also choose whether to send an email notification to the next user(s) responsible.
• Finally, complete forwarding the flow folder by hitting [OK].
