To create a new flow folder, proceed as follows.
• Select from the top menu. The action form 'New flow folder' has three tabs 'General', 'Tasks' and 'Automatic versioning'.
• In the 'General' tab, enter the name and optionally tags and description of the new flow folder.
• In the 'Tasks' tab, enter the tasks of your flow folder.
o Click on [Add new task] to
create a new task. In the task form, you specify the name and optionally tags
and description of the task.
Under Forward to you
determine the next station in the flow folder sequence. The default setting
is that the flow folder is forwarded to the agents of the next task in the
sequence. Alternatively, you can allow the flow folder to be forwarded to
another station or to one of several other stations.
Finally, you
select one or more users to be responsible for the task, just as you would
invite members to a workspace.
o Collapse the task by clicking the triangle in the upper left corner of the task form.
o Proceed to add new tasks by clicking on [Add new task].
o In the collapsed and compact view, tasks are numbered. If you have deviated from the standard sequence of task processing, task numbers after the task name indicate to which task or to which of several tasks the flow folder is forwarded.
o Use the and arrows to change the order of tasks, and to remove already created tasks.
o You can change the tasks yourself by unfolding them (click on ) and changing all the details in the task form as you wish: Name, description, next station, responsible person.
• In the 'Automatic versioning' tab you can set a version control for the new flow folder and its subfolders with the consequence that all documents that are newly created are automatically placed under version control.
• Click [OK] to create the new flow folder.
After creating the new flow folder, you can now add documents or other objects that are important for the flow folder to the flow folder folder.
As a member of the flow folder, you can change the flow folder at any time. This concerns not only the contents of the flow folder, but also its tasks. You can define new tasks, remove tasks, change the order of tasks or redefine individual tasks, which also includes the responsible agent. Changing the flow folder is also possible for the responsible agent of the current task.
• Select in the context menu of the flow folder you want to change. The action form for changing flow folders works exactly like the flow folder creation form we described above.
• Remember to expandtasks you want to change in the 'Tasks' tab.
You can also copy a flow folder including its tasks. The state of the processing of the tasks is not copied: the state of a copied flow folder is the one before the first start. However, this concerns only the tasks, the content of the flow folder is copied in its current state!
