You can put folders or individual documents under sharing only if you are the manager of the workspace where the folder or document is located.
You place an entire folder and thus the documents it contains under release if, for example, you want to define a standard release procedure that is to apply to all documents in a specific folder. You do this as follows.
• Select in the context menu of the folder and go to the "Document sharing" tab of the action form (if this section is missing, you are not a manager). You can also set the sharing process when creating a folder.
• You now have the option to define your own release process (option 'Define release process'). If a sharing process has already been defined for the parent folder, you can adopt this process (option 'Adopt settings').
• To define your own sharing process, select the appropriate option. First determine whether the release process should be started automatically when a document is uploaded or inserted into the folder. This is indicated, for example, if the folder is not to contain drafts, but only final versions of documents for release.
• Then click on [Add share step].
o Optionally, provide a description of the release step.
o Specify whether, in the case of multiple reviewers, review by one reviewer is sufficient or whether all reviewers in this step must accept a document for it to be considered accepted (in the case of rejection, one reviewer is always sufficient to reject a document).
o Finally, determine the reviewers, i.e. the users who are responsible for reviewing a document in this step.
Note:
Reviewers do not have to be members of the workspace where the documents to
be reviewed are located. They are given separate access to such documents for
the review.
The same user cannot
participate in the review of a document more than once.
• Repeat adding release steps as many times as desired.
• Use the and arrows to change the order of the steps, and to remove steps already created.
• You can change the individual steps by expanding them (click on ) and changing all the details as you wish: Description, single tester sufficient or not and responsible testers.
• Click [OK] to set the sharing process for the folder.
After you have set the sharing process for the folder, you can start this sharing process for all documents that are already in the folder. Sharing starts automatically for uploaded or inserted documents if you have set it that way. The document sharing process is described below.
You can also place individual documents under release, e.g. to specify a release process that differs from the standard procedure for a folder. The procedure is the same as for folders.
• Select in the document context menu and go to the Document Sharing tab of the action form (if this section is missing, you are not a manager).
• Define the release process by first clicking the 'Set release process' radio button.
• Continue by clicking [Add Share Step] to define your sharing process as described above for folders.
