You create an appointment reconciliation as follows:
• Select in the top menu.
• In the 'General' tab of the 'New appointment reconciliation' action form, specify the following details of the planned appointment reconciliation.
o Name and optional heading, tags and description. The heading appears at the top of the voting form. If no heading is specified, the name acts as the heading.
o Suggested dates: Select dates for your meeting. Use the menus to do this or click on the calendar icon to activate a date entry tool. The time fields can be left blank. You can add a comment to the appointments, for example, about the location or duration of the scheduled meeting, which will be displayed to the participants. Click on [Add appointment suggestion] if you want to make more than three suggestions.
Note: Once votes have been received for the appointment poll, you can only change the appointment proposals after you have reset the appointment poll. When resetting, all previous votes of the participants will be lost.
• Time frame and reminder: Enter the start and end of the voting. Participation in the appointment poll is only possible within the specified time frame. Specify when you want to be reminded about the end of the appointment voting.
• Participation and notification details: Specify whether you want to be notified about each individual vote. You can further allow participants to suggest additional participants and vote on a date with "Maybe" (as an additional option to the default Yes-No alternative).
• In the 'Participants' tab you define the participants and details about their notification.
o Select the participants of the meeting (as you would select the members of a workspace). You may also specify the email addresses of persons who are not registered users of your BSCW server; in case of appointment polling, these persons may participate without registering as users. When you create an appointment poll in a shared workspace, the members of the workspace are preselected as participants by default.
o Language: Select the language in which you want the automatic invitation email to be written.
o Personal comment to invited participants: Optionally enter a personal comment for the otherwise automatically generated invitation email that is sent to all participants.
• Click on [OK] to generate a preview of the voting form. The preview offers the possibility to still make changes or to start the appointment reconciliation immediately: click on [Change appointment reconciliation] or on [Start appointment reconciliation now]. Click on [Back] if you are satisfied with the preview and you want to start the appointment reconciliation at the scheduled start date.
• If you have started the appointment voting in the previous step and are a participant yourself, you will next be asked to vote on the appointment proposals, which is explained below. You can also edit the participant list here by clicking on [Change participant].
You as the organizer can change most of the details of the appointment voting. However, after the first vote has been cast, you cannot change the dates and the voting scheme ('Yes-No' or 'Yes-No-Maybe') (you would need to reset the date voting to do this).
• Select in the context menu of the appointment poll and change the name, description, end of the poll, details of participation and notification, and participants. Optionally, enter a personal message that will be attached to the notifications of the participants of an ongoing appointment voting.
• Click [OK] for the changes to take effect. All participants in an ongoing appointment poll will be notified of the changes, new participants will be invited, and participants you have uninvited will be notified.
You can start a scheduling session that has not yet started at any time.
• Select in the context menu of the appointment scheduling or click on the entry of the appointment scheduling in the folder overview. Then click [Start appointment scheduling now] in the action form.
If a participant suggestsnewparticipants and this has to be confirmed by you (depends on the configuration of your BSCW server), you will receive an email message containing a link that leads you directly to the action form where you may invite the new (and also further) participants.
• The 'Invite proposed or new participants' action form displays the current participants. You can add new participants and remove existing ones.
• Optionally, specify a personal message that will be added to the invitations of new participants and the notifications of uninvited participants. Click [OK] when you are finished.
You as an organizer can send an e-mail message to the participants of an ongoing appointment coordination.
• Select in the context menu of the appointment poll, enter your message and click [OK]. You can send the message to all participants, all participants who have already or not yet voted, or select the recipients of the message among the participants.
Note that not only the organizer, i.e. the creator of the appointment scheduling, but also the manager of the workspace containing the appointment scheduling can modify an appointment scheduling and send messages to the participants.
You can also display the reconciliation periods of appointment reconciliations on a timeline.
